Finding New Customers Finding new customers during a pandemic has proven to be challenging. Many medical practices have lowered their patient count, some have been closed altogether, and some simply don’t have the money to spend. Restaurants are no longer seating for inside dining, stores are closed and sales for most business are way down. There are no trade shows, no door to door visits, no onsite meetings and no in person training programs. Still, there are ways to inc...rease your customer base, you just have to change with the times. I can’t tell you how many times we have had to reinvent ourselves in the course of doing business for 16 years. I welcome these challenges as it forces me not only to think, but to create more efficiencies for my staff and all of the medical practices we support. Finding New Customers The first thing we are doing is not only doubling but tripling our marketing efforts. We have mailers going out once a week with various educational information. Just because we are in a pandemic doesn’t mean you need to be relaxed on your security efforts. Hackers are taking the opportunity to hone their skills while people are working from home. Marketing will increase your brand and get your name out there. Hold webinars. We have upped our game on holding educational webinars. People seem to have a little more time, and are more familiar with virtual learning so jumping on a webinar is becoming the norm. Phone calls believe it or not, trying to get a 10 minute Zoom call is sometimes easier than scheduling a 30 minute face to face meeting. Again, people are much more familiar with Zoom and may not even mind at giving you just 10 minutes of their time. Take the time to develop new products/packages that are beneficial to your customers. Rarely do we have time to put together that offer we have been thinking about for years. Now just may be the time. Stay in front of existing customers. Ask for referrals, check in on them, go above and beyond what you have been doing. Pandemic Keep in mind this pandemic is not going to last forever. It may be here for the near future, but it will not be here forever. People will eventually return to restaurants, stores, malls, etc. The idea is to stay productive and don’t give up hope. ARE THEY REALLY WHO THEY CLAIM TO BE? In a recent incident reported in US news, an office secretary unknowingly gave some of her law firm’s most private data to a gentleman who had bought a Comcast Cable polo shirt off eBay. He dressed in khakis with a tool belt, and told the secretary he was there to audit their cable modem specifications and take pictures of the install for quality assurance. She had no reason to suspect he was part of a now-extinct hacker ring who would ga...in access to a business’s private network by going inside the office and noting the configuration details and passwords for their firewalls and cable modems. In some cases, they actually built a secure VPN private backdoor they later used to steal data. If someone dressed up in a utility-provider uniform, would you let them in? Ask for identification and who they have spoken with about the service they are performing, and be gracefully suspicious, as they say in the South. Keep company policies about how visitors are allowed in the building, if such policies exist. If those kinds of policies don’t exist, work to define them. Passwords: You know you’re guilty of it: using the same password for everything. Believe me, I understand how annoying it is to try and remember all those passwords; and if you’re using the same password for sites that don’t share sensitive information, like a login to a news feed you like to read, then it’s generally okay. HOWEVER, the ONE password you want to keep unique is your e-mail password. If an e-commerce site you’ve registered at or bought from gets hacked and ...you’ve used the SAME password you usually use for everything to register at the site you can pretty much bet hackers are going to gain access to your in-box. They’ll have your e-mail and your password to the e-commerce site and will use that to hack in. From there, they’ll have fertile ground for getting all your data and other passwords. Still Talking About EMR’s Still Talking About EMR'sIt’s been many years since most practices have implemented an EMR, yet we are still talking about EMR’s and the benefits they bring. At Tier3MD, we have been in hundreds, if not thousands of medical practices and I would be hard pressed to find a medical practice that has not implemented an EMR. I think at this point, everyone has realized the benefits and are well aware of how an EMR can help your medical practice. Let me... state the obvious! LOWER COST Implementing an EMR has definitely assisted in lowering costs for medical practices. Just think of how much is saved with dictation alone. Most are now hosted and some are even web based. That definitely lowers your cost for hardware and a heavy infrastructure. Just think of the paper you are not using and filing that is not being done. That is a huge savings! BETTER RECORD KEEPING Speaking of filing, the record keeping is MUCH more efficient and accurate. Just think about what happens to a piece of paper that is filed in the wrong chart. It’s pretty much gone for years, or even gone forever. You don’t need a medical records physical space anymore and your record keeping is much more scalable. BETTER TREATMENT Everything is much more efficient from the check-in process to the exam to the check-out process. Doctors and medical staff are able to have the records in front of them in a matter of seconds from where every they are whether it be at home, vacation, or in Starbucks! The entire workflow is so much easier and of course, that transfers over to more efficient quality patient care. So here we are, still talking about EMR’s. The best part is that this isn’t a conversation I have to convince the Doctors to do. It is pretty clear that EMR’s are here to stay and the benefits far outweigh the costs. No matter how diligent you are about security, there’s always a chance you can get hacked. That’s why you need to put a plan in place NOW to protect yourself and your CLIENTS, so damage is minimized. But what should you do if you find out you’ve been hacked? First, contact your IT department (us) IMMEDIATELY. The faster we can address the attack and determine the extent of the data, applications and machines compromised the better your chances are of preventing much bigg...er problems. We’ll go to work on containing the attack and conducting a full scan of your network. Based on what we discover, we may advise you to contact the local FBI office and your attorney. Your legal responsibilities depend greatly on the type of data accessed. For example, if medical, financial or other confidential records were stolen or accessed, you are legally responsible for notifying affected individuals that their data was compromised (your attorney can best direct you on what you need to do and how to do it).
